Greater Noida: The Yamuna Expressway Industrial Development Authority (
YEIDA) is planning to start an
e-office where an integrated file and records management system with over 60,000 files will be available online from May 10, said officials on Tuesday.
Around 42,000 files have already been scanned while the remaining will be available post May 10, they said.
“The aim is to have a more transparent and efficient office as all the files will be accessible online. The
paperless management system will help in increasing responsiveness and make the employees more proactive,” said YEIDA CEO Arun Veer Singh, who has appointed additional CEO Shailendra Bhatia as the nodal officer for this purpose.
Singh added, “No particular software is being used at the moment. However, we have purchased a licensed version of Word that comes with time and signature authentication. The entire process will be operational from May 10.”
The training of staff is currently under way, officials said, adding that the files that will be kept in a PDF format will be cleared through digital signatures henceforth.
To ensure that the process runs smoothly, the network, storage and internet system will be upgraded, Singh said.
The e-office will allow YEIDA easy access to content, data search as well as inter-department collaborations.
“It will also help track archived files, reduce unnecessary manpower to facilitate the physical movement of files and save expenditure on paper,” said Singh.
Meanwhile, a separate team is working on allottee management system (AMS) whereby online services will be provided to each allottee in the next four months (August onwards), said ACEO Bhatia.
