Job Description
An exciting opportunity is available for an Administrative Assistant (part-time) to join one of HHMI laboratories located at the University of California, San Diego campus in La Jolla. In this position, you can expect to provide a high level of administrative support for a scientist, professor and a growing laboratory. The position requires that you perform administrative responsibilities in the areas of assisting with manuscripts and grant submissions, drafting correspondence, review/coordinate travel arrangements, travel reimbursements, budget monitoring and special projects. This position offers you the chance to be an integral part of a collegial team performing high-impact science, yet offers flexibility.
Principal Responsibilities:
- Provide administrative support for the Investigator.
- Coordinate travel arrangements and reimbursements for the Investigator
- Assist with the preparation and submission of grant applications and manuscripts.
- Provide administrative support for professor’s teaching course preparations using TritonED instructional website.
- Draft letters and correspondence.
- Order office supplies and laboratory supplies.
- Initiate purchase requests through HHMI and UCSD.
- Coordinate and schedule meetings for visitors to the laboratories.
- Coordinate and plan for seminars, lab meetings and special events.
- Act as liaison to university departmental offices, HHMI Science Operations office and institutions or agencies.
- Maintain files.
- Maintain meeting and appointment calendars.
- Complete database entry for lab personnel.
- Work on special projects and assignments.
- Prepare material transfer agreements.
- Perform other administrative duties as assigned.
Preferred Qualifications:
- Bachelor's degree plus four years administrative experience, preferably in an academic research environment.
- Exceptional organization and problem-solving skills required.
- Excellent communication skills are required.
- Ability to work independently, use good judgment, meet tight deadlines and show initiative.
- Must be a team player and comfortable working in a fast-paced environment.
- Experience with Microsoft Office applications preferred.
- Must be detailed-oriented, solution-driven and self-directed.
- Knowledge of UCSD systems.
